At Flotira, we respect your privacy and are committed to protecting the personal data you share with us. This Privacy Policy explains how we collect, use, and safeguard your information when you use our multi-agent AI platform.
1. Information We Collect
To provide our services, we collect the following types of data:
- Account Information: Your name, email address, and billing details provided during signup or when upgrading to a paid plan (Pro or Bring-Your-Own-Key).
- User-Uploaded Content: Files, images, and documents you upload to projects for agent processing.
- Usage Data: Records of your interactions with our agents, including token consumption, timestamps, and model selections stored in our
usage_events table. - Agent Trajectory Data: When you chat with our agents, we record (a) the agent's internal reasoning, (b) the names and parameters of any tools the agent invokes on your behalf, and (c) the results those tools return — including data fetched from any third-party services you have connected (e.g. Gmail, Google Calendar, your CRM). This lets us debug failures, improve agent reliability, and may inform future improvements to our orchestration models. You can request deletion of this data at any time (see Section 5).
- Technical Data: IP address, browser type, and device information collected for security and system optimization.
2. How We Use Your Data
We use your information strictly to:
- Operate the Platform: Process your chats, manage your file hosting, and enable agent memory via our vector database.
- Billing and Tier Enforcement: Calculate token usage and storage fees to ensure accurate billing for PAYG and subscription tiers.
- Improve the "Digital Team": Anonymized usage patterns and agent trajectory data may be used to evaluate, debug, and — in the future — fine-tune our own orchestration models. Before any trajectory data is used to train a model, personal identifiers (names, emails, phone numbers, addresses, organization names) will be removed using surrogate replacement so that training data preserves linguistic structure without exposing identifying details.
- Security: Detect and prevent fraudulent activity or violations of our Fair Use Policy.
3. Data Storage and Memory
Unlike traditional software, Flotira utilizes specialized storage:
- File Hosting: Your raw files are stored in secure cloud "warehouses".
- Vector Memory: We convert the "meaning" of your data into mathematical vectors stored in a vector database. This allows agents to "remember" project context. You can delete these project memories at any time through your dashboard.
4. Third-Party Services
We do not sell your data. However, to provide AI functionality, we share necessary data with:
- AI Model Providers: We transmit text and image data to providers like OpenRouter/OpenAI/Anthropic to generate agent responses. These providers have their own privacy policies regarding data retention.
- Payment Processors: Financial transactions are handled by secure third-party processors (e.g., Stripe). We do not store full credit card numbers on our servers.
5. Your Rights and Choices
- Access and Export: A complete copy of your data — chats, memories, projects, agent trajectories — can be downloaded as a ZIP archive as part of the account deletion flow on your Account page. If you need a copy of your data without closing your account, please contact support.
- Deletion: You may delete individual files, project memories, agent trajectory data, or your entire account at any time. The "Delete my account" flow on your Account page first offers you a downloadable export, then permanently removes all associated chats, memories, projects, and trajectory records. Please note that once deleted, vector memories cannot be recovered.
- Opt-Out: You can opt-out of promotional emails, though we will still send essential service-related notifications (e.g., billing alerts or FUP warnings).
6. Security
We implement industry-standard security measures, including encryption for data at rest and in transit. Our internal "Admin" access is restricted to authorized personnel listed in our ADMIN_TENANT_IDS configuration for the sole purpose of maintenance and support.
7. Browser Extension
The Flotira browser extension is an optional companion that lets you save web pages, screenshots, and selected text directly to your Flotira projects. It is designed to act only when you explicitly ask it to, and its data handling is limited as follows:
- Authentication: The extension reads your existing Flotira session token from your logged-in
flotira.com tab so it can save content to your account without a separate login. This token is held only in your browser's local extension storage and is sent solely to the Flotira API to authenticate your requests. - What it accesses, and only when you click a save action: the current tab's page title and URL ("Save Page"), an image of the visible tab ("Save Screenshot"), or the text you have highlighted ("Save Selection"). It also stores small preferences locally — your last-used project, your save mode, and any items you have queued in a "stack" before saving.
- What it sends: the content you choose to save is uploaded to your own Flotira account via the Flotira API, exactly as if you had uploaded it from within the app. Nothing is sold or shared with third parties.
- What it does not do: it does not run in the background on other websites, does not track or record your browsing history, and does not read page content except the selection or screenshot you explicitly capture. It requests only the minimum browser permissions needed for these actions (
activeTab, scripting, and storage). - Removal: uninstalling the extension from your browser removes its locally stored data. Content already saved to your projects can be deleted from your dashboard as described in Section 5.
